01Who we are

gudBro (“gudBro”, “we”, “us”) builds business software — CRM, HRMS, Tutor Management, ERP and Bulk Email — and operates this website. For anything in this policy, we are the controller of the personal data described below and you can reach us at contact@gudbro.ai.

02What we collect

Information you give us

  • Contact details — your name, email address, phone number, company name and the service you are interested in, when you fill in a form on this site.
  • Message content — whatever you choose to write to us in an enquiry or by email.
  • Account and billing details — if you become a customer, the details needed to set up your workspace, invoice you and provide support.

Information collected automatically

  • Technical data — IP address, browser and device type, operating system, and referring page.
  • Usage data — pages viewed, time on page and links clicked, used in aggregate to understand what is useful.

Customer data in our products

When you use a gudBro product, you may upload data about your own employees, customers or students. We process that data on your behalf as a processor, under your instructions and your agreement with us — not for our own purposes.

03How we use it

  • To reply to your enquiry and match you with the right service.
  • To provide, maintain and support the products you have signed up for.
  • To send service messages — changes, incidents, renewals and security notices.
  • To send occasional updates about gudBro, where you have asked for them or where we are permitted to. Every such message has an unsubscribe link.
  • To improve the site and our products, and to keep them secure.
  • To meet legal, tax and accounting obligations.

We do not sell your personal information, and we do not use your enquiry details for advertising profiling.

04Legal basis

Where data protection law requires a legal basis, we rely on: your consent (for marketing email and non-essential cookies); performance of a contract (to deliver the products you have bought); our legitimate interests (to answer enquiries, secure our systems and improve what we offer); and legal obligation (records we are required to keep). You can withdraw consent at any time without affecting processing already carried out.

05Who we share it with

We share personal information only with:

  • Service providers who work for us — hosting, email delivery, analytics, payment processing and support tooling — bound by contract to protect it and use it only for the service they provide.
  • Professional advisers such as accountants and lawyers, where needed.
  • Authorities, where we are legally required to disclose, or to establish or defend legal claims.
  • A successor entity, if gudBro is involved in a merger, acquisition or sale of assets. We will tell you before your data becomes subject to a different policy.

Some providers may process data outside your country. Where that happens, we use appropriate safeguards such as standard contractual clauses.

06Cookies and analytics

We use a small number of cookies and similar technologies: essential ones that make the site work, and analytics ones that tell us, in aggregate, which pages people find useful. You can block or delete cookies in your browser settings; the site will still work, though some preferences may not be remembered.

07How long we keep it

  • Enquiries — up to 24 months from our last exchange, unless you ask us to delete them sooner.
  • Customer account data — for the life of the account, then up to 90 days for restoration, after which it is deleted or anonymised.
  • Billing records — as long as tax and accounting law requires.

08How we protect it

We use encryption in transit, access controls on a need-to-know basis, logging, and regular backups. No system is perfectly secure, but if a breach affects your personal data and poses a risk to you, we will notify you and the relevant regulator as required by law.

09Your rights

Depending on where you live, you may have the right to access a copy of your data, correct it, delete it, restrict or object to how we use it, receive it in a portable format, and withdraw consent. Write to contact@gudbro.ai and we will respond within the timeframe the law allows — normally 30 days. You also have the right to complain to your local data protection authority.

If your data sits inside a customer’s gudBro workspace, please contact that organisation first; we will support them in answering you.

10Children’s data

Our website and products are intended for businesses, not for children. Where an institution uses our Tutor Management System to hold records about students under 18, that institution is responsible for obtaining the necessary consents; we process that data solely on their instructions.

11Changes to this policy

We may update this policy as our products and the law change. The date at the top always reflects the current version, and we will give notice of material changes by email or a notice on this site before they take effect.
